What we collect when you use this website, why, how long we keep it and what you can ask us to do about it.

1. Who is responsible for your data

Important distinction: this policy covers our website. When we run AI automation for a client, that client is the controller of their own customers' data and we act as their processor under a separate Data Processing Agreement. This policy does not govern that relationship.

We do not ask for special category data and you should not send it to us through this website. We do not knowingly collect data from anyone under 16.

3. Legal basis

  • Legitimate interests — responding to a business enquiry you initiated, keeping the site secure, and understanding site usage in aggregate
  • Consent — for any non-essential analytics or marketing cookies, and for marketing emails
  • Contract — where you become a client and we need your details to deliver the service
  • Legal obligation — tax and accounting records

4. Cookies and analytics

This website sets no cookies of its own. It loads a web font from Google Fonts, which means your browser contacts Google's servers and your IP address is visible to them.

If you add Google Analytics, Google Ads, LinkedIn Insight or any similar tag, list each one here with its purpose and retention, and put a consent banner in front of it. Do not leave this paragraph as-is once analytics is live.

5. Who we share it with

We do not sell your personal data. We share it only with providers who help us run the business:

  • Website hosting — provider
  • Form handling — provider
  • Email and CRM — provider
  • Analytics — provider, if enabled

We may also disclose data where the law requires it. Some of these providers are in the United States; where data leaves the UK or EEA we rely on appropriate safeguards such as Standard Contractual Clauses.

6. How long we keep it

  • Enquiries that do not become clients — e.g. 24 months, then deleted
  • Client records — for the contract term plus the statutory retention period
  • Server logs — e.g. 30 days

7. Your rights

Depending on where you live you may have the right to access your data, correct it, delete it, restrict or object to how we use it, receive it in a portable format, and withdraw consent at any time. Under CCPA/CPRA you also have the right not to be discriminated against for exercising those rights.

To exercise any of them, email info@workgenesis.ai. We respond within one month. If you are not satisfied you can complain to your data protection authority — in the UK the ICO, in the EU your national authority, in Türkiye the KVKK.

8. Security

The site is served over HTTPS and access to enquiry data is limited to the people who need it. Our security controls and how we handle client data are described in more detail on the Trust & Security page. To report a vulnerability, email info@workgenesis.ai.

9. Changes

If we change this policy we will update the date above. Material changes affecting how we use data you have already given us will be notified directly where we can.

How we handle client data is a separate document

If you are evaluating us as a supplier, the Data Processing Agreement and security pack are what you want — and you can request both before speaking to sales.
